Red Rover Employee Directions

Create an Absence

First, Log into the Red Rover website at app.redroverk12.com.

  1. Select your dates, by clicking on all of the dates of your absence on the "Create Absence" calendar.  Be sure to enter all of your dates as one absence as Red Rover allows substitutes to pick up individual days and allows you to choose different absence reasons for each day.
  2. Below the calendar, click the Reason dropdown, and select the reason for your absence.
  3. Choose if your absence is for a Full Day, Half Day AM, or Half Day PM absence.
  4. If your settings allow, choose whether your absence will require a substitute.
  5. Finally, click Quick Create to submit your absence or select Add Additional Details to enter additional options (explained below).

    If you chose Quick Create, that's it. You will receive your absence confirmation number and Red Rover will take it from there!

Add Notes, Upload Files, Pre-arrange Subs, or Edit Sub Times

If you like, you can add additional details to your absence instead of using the "Quick Create" option. This will allow you to add notes, upload files, pre-arrange subs, and edit sub times.  

  • Click Add Additional Details to the left of the "Quick Create" button.

  • Additional Details will appear below, and the substitute details section will open on the right.
    (All fields are optional. Be sure to click CREATE in the bottom right you're finished.)

Adding Additional Details

Use the legend below to add and edit various details of your absence.

  1. Notes to Sub: Leave notes for the sub like "Lesson Plans are in my top drawer." These notes are visible to you, the sub, and the admin.
  2. Add Files: Upload files like lesson plans or seating charts for your sub to download.
  3. Pre-arrange subs: Your district may allow you to Pre-Arrange a sub for your absence. To do so, click the Pre-Arrange button. If the absence is for more than 4 days, you will need to have the Front Office Admin Assistant add the substitute for you.  You will need to put the Substitutes name in the Notes to administrator and email the Front Office Admin Assistant so that they know to enter the substitute.

    You'll see a list of available substitutes. ("Favorite subs" will have a mceclip11.png next to them.)

    Important

    Before selecting a substitute, use the sub's provided phone number to call and confirm they're willing to sub for your absence.

    After confirming with them, click the ASSIGN button.
     
  4. Edit Sub Details: Your district may allow you to also Edit Substitute Details. Use this option to adjust school locations if you work in multiple buildings.

  5. If the absence reasons, times, and sub requirements for all days are the same, keep these boxes selected. If they are different, de-select these boxes and enter the time and absence reason for each day.

  6. You can also leave notes to the Administrator. These notes are visible to you and any administrator viewing your absence. Note: Some absence reasons require Notes for the Administrator. 
     
  7. Finally, be sure to click the CREATE button.

Important!

You are not finished until you see that you have a confirmation number.  Once you have a confirmation number, you will see the absence appear on your schedule.

Check your Balances

To check your balances, click on the PTO Balances button on the left menu.

 

The as of date for your balance will always be the day after payroll has processed your days through.  Payroll processes days taken on the 15th paycheck and they process the days taken the previous month.  For example, on the September 15th paycheck they process all of the days that you took in August.  So, the as of date will be September 1st.  it will stay September 1st until the September days are processed on the October 15th paycheck.  Then as of date will become October 1st.  On the last paycheck of the month, Vacation days that are accrued are added to your balance, but the as of date remains the same.
